DescriptionSupports, coordinates, and details the prompt, courteous and efficient delivery of group room and catering contracts to satisfy the customer’s service needs and to maximize the hotel’s profits. Assists on special projects as needed. What will I be doing?nProvides support to Sales Managers and Directors of Sales & Marketing in planning and detailing contracted group room and catering agreements. Maintains accurate and up-to-date client files. Prepares correspondence to customers, internal booking reports and file maintenancenHandles group rooms contracts after turnover including building groups in the reservations systems, creating booking links, charging deposits, maintaining pick-up/availability communications with client, managing rooming list, detailing group’s needs to group and with internal team to ensure success, and other duties related to event execution. nCreates and distributes internal/external letters, emails, resumes, room lists and group-related invoices. Represents the hotel and conducts conferences with individual customers by telephone or in-person to organize arrangements as they relate to events; i.e. set—up and execution of social and corporate meetings, meals and special events. Creates banquet event orders and provides direction of meeting and/or catering logistics to catering and event services managers and other departments and team members responsible for event execution.nParticipates in daily business review meetings, pre-convention meetings, training and other sales-related meetings are part of the job function. This position works closely with other departments in the hotel to ensure quality service is provided to the guest at all times.nIn-house support for the Sales Managers when required.
