Hilton’s Commercial Services organization is comprised of over 4,000 team members driving our sales, revenue management, call center, and analytics functions. These functions are the core of Hilton’s “commercial engine” and are key to Hilton’s ability to drive profitable growth.

What will I be doing?

As the Administrative Assistant, you will represent the Resorts of the Mexican Pacific by providing the Resort DOSM's and the Complex Sales Directors and Managers with office support in both resort's continuing efforts to deliver outstanding guest service, efficient workflow, speed to market, and financial profitability.

More specifically, you will:


Work closely with Complex Sales Directors and Managers in order to make them more effective and increase their closure rate.
Interact with clients and respond to requests in a timely, friendly and efficient manner.
Perform word processing, typing, e-mailing, data entry, filing, faxing, copying, processing mail, and taking notes and/or dictation as needed.
Answer telephones, schedule team members, and coordinate department projects, as needed.
Initiating Proposals & Contracts.
Perform other general office duties and assist with special projects, as needed.


What are we looking for?

The success in this role will demonstrate itself through the following attributes and skills:


Basic hotel product knowledge, i.e., staffing, operations, safety, security, structural, terminology, fire, police and health codes, hotel policies, and city ordinances.
Understanding of the hotel structure/layout and how all departments interact.
Familiarity with various types of setup styles used in the meeting rooms.
Ability to effectively deal with internal and external customers, some of whom will require high levels of patience, tact, and diplomacy to diffuse anger, collect accurate information and resolve conflicts.
Quantitative processing of data via office machine equipment, mathematical computations, and analytical skills necessary to accurately determine and communicate financial, forecasting, and space utilization calculations.
Proficiency in the use and operation of computer systems with the ability to navigate efficiently through Word, Excel, Access, Outlook, Delphi (or in-house sales system), Market Vision, OnQ, InFocus, Internet and Intranet and Optimum Settings (or in-house CAD program).
Ability to read, write and speak the English language to fully comprehend guest requests, memos, proposals, general correspondence, and similar written materials.
Possess a good conceptual understanding of electronic devices and the ability to operate such items as copy machines, slide projectors, microphones, computers, portable radios, pagers, etc.
Ability to complete a contract in compliance with all checklists, standards, and hotel policies.
Interpersonal skills to provide overall guest satisfaction.


To fulfill this role successfully, you should demonstrate the following minimum qualifications:


(3) years of administrative support experience
Extensive experience in Microsoft Office and Database Management
Strong organizational skills and ability to work cohesively with multiple sales professionals


It would be useful in this position for you to demonstrate the following capabilities and distinctions:


Hospitality experience is strongly preferred
Experience with contractual processes and procedures
